 Minutes of a Meeting of the

MEETING OF THE ADOPTIVE ACTS COMMITTEE

Held in the Community Room on Tuesday 13th October 2009, after the Planning Meeting commencing at 7.30pm.

Cllrs: D. Fry (part time), G. Harris, M. Innes, M-L. Kellaway and

Jean Stretton.

 

ALSO PRESENT: Cllr M. Wellman

 

1.            APOLOGIES FOR ABSENCE AND DECLARATIONS OF INTEREST:

Apologies were received from Cllr M. Barnes and M. Coker. There were no Declarations of Interest.

 

2.              CEMETERY:

a)                  Quotes for tarmac drive outside the main gates  – The Clerk had been unsuccessful in gaining a third quote for this work. A break-down had been completed on the first two quotes. The first was from Sherwood Bros. & Burton (Maidenhead) Ltd who were recommended by RBWM. The cost was £2958.00 plus vat. The second quote was for £45.10 + vat per square metre which totals £3157.00 plus vat from a company called ESC – Surfacing Contractors. ESC were recommended by a number of Town and Parish Councils. It was AGREED to award the work to ESC as their quote contained more detail and offered guarantees for their work. Cllr Fry proposed the go-ahead, this was seconded by Cllr Jean Stretton and AGREED unanimously.

b)         Quote from Thames Forge for refurbishment of the main gates – A quote had been received from Thames Forge. The Forge recommended re-fitting the gate with a cup and ball to stop the gate eroding the ground and fitting padlock lugs to stop the current chains eroding the gate. All three gates would be stripped of paint, assessed, rectified and then re-primed using hi-build zinc phosphate primer. The gates would be finished with a top coat of high gloss paint before re-installed on site. Due to the specialist nature of this work and the excellent reputation of Thames Forge, it was AGREED to proceed on the proposal of Cllr Harris. This was seconded by Cllr Innes.

 

3.                CREMATION AREA: 

a)         To agree the purchase order for Joe Stoneman to install a water pipe in the Cremation Area – A quote had been supplied from Joe Stoneman to excavate a trench and lay a water pipe into the Cremation Area. The cost for labour, materials and equipment hire was quoted at £875.00. On the proposal of Cllr Harris, seconded by Cllr Jean Stretton, it was AGREED to go-ahead with this work but to allow another £50-£75 for Joe to install a T-junction and additional tap for the new extension to the Cemetery.

 

4.              STREET LIGHTING:

a)         Urgent replacement of concrete column in Burnt Oak – The Clerk had been contacted by SEC to replace a damaged column in Burnt Oak. It was one of the few remaining concrete columns which the Council had been intending to replace. It was AGREED to give SEC the go-ahead at a price of £864.70 plus VAT. This was a good price and the column was now an emergency as it was damaged. The Clerk was also asked to get a quote from SEC for replacing the other two concrete columns at the same time.

 

Cllr Fry left the meeting at this point.

 

5.         WAR MEMORIALS:

a)         The Clerk had found a new contractor, Chiltern Carving. Mr Timothy Aze had recently completed some good work for Hurley Parish Council and had carried out a site visit on the outstanding work for the Cookham Dean memorial. He found that the plaques were coming away from the memorial in addition to the re-lettering work. His quote of £830 would cover the restoration of all name plaques. On the proposal of Cllr Harris, seconded by Cllr Innes, it was AGREED to award the work to Chiltern Carving. It was unlikely that the work could be finished before Remembrance Sunday but the Clerk would write to the British Legion to explain the situation. The Clerk was also given permission to get Holdford Landscapes to tidy both memorials before the Remembrance Day ceremony.
